theriverbend.app is run by the Riverbend Overlook Community Association, a self managed homeowners association in Fayetteville, Georgia. This page says what the site holds about you, who can see it, which companies are involved in running it, and how to have it corrected or taken out. It is written in plain English on purpose. If something here is not clear, ask and we will fix the wording.
Nothing on this site is sold, rented, or handed to advertisers. There is no advertising on it, and there is nothing to sell.
What we hold, and why
When you ask for an account. Your name, your email address, your street address in the neighborhood, whether you own or rent, and a phone number if you choose to give one. The phone number is optional and the form says so. We also record that you ticked the box agreeing to be contacted electronically, and when you ticked it, because Georgia law treats that tick as your agreement and the record of it is the point.
While you have an account. Your sign in email, your name, the Lot you are attached to, a second email address if you would rather get notices somewhere else, and your choices about which emails the association sends you.
What you send through the site. Items you send to the board through Ask the Board, feedback you send about the website itself, questions you ask the bylaws assistant and the answers it gives, your RSVPs, and your answers to unofficial votes. Feedback about the website records which page you were on when you sent it, because knowing where “this is broken” happened is most of the value in the report.
Records the site keeps about itself. Every email the site tries to send is logged with the kind of email, the subject, the addresses it went to, whether it actually sent, and the error if it did not. The bylaws assistant records how many words went in and out and what that cost, so the association can publish what the site costs to run. That cost record counts tokens, not content.
Who can see it
Your directors can see the roster, requests to join, items sent to the board with the name of whoever sent them, website feedback with the name of whoever sent it, and how many people answered a vote. They can see items you sent even if you asked that your name be kept out of contact with a neighbor. That flag limits who the board names when it reaches out; it does not hide you from the board, because standing matters when the board acts on something.
Your directors cannot see how your Lot voted. The database has no rule that lets a director read a vote row. Turnout comes back as a count from a function that returns numbers and never identities, so the board learns how many answered and never who chose what. The people at your own address can see and change your household’s answer, since the vote belongs to the Lot.
Your directors cannot read what you asked the bylaws assistant. Those conversations are readable only by the account that wrote them.
Website feedback has no hidden half. There is no board only notes column on it. The only thing a director writes back is the resolution, and it is written knowing you will read it.
Other residents see your name where you would expect it: on an RSVP, or where the board quotes something in a community post. They do not see your email address, your phone number, what you sent the board, or how you voted.
The companies involved
The association is three volunteer neighbors, not a data center, so the site runs on services other companies operate. Each one only touches the part it needs.
- Vercel hosts the site and serves every page. Like any web host it keeps short lived operational logs of requests. Vercel also counts page views for the board, so we can see which parts of the site people actually use. That count is anonymous: which page was opened, what site the visit came from, whether it was a phone or a computer, and which country. It sets no cookie, it builds no profile, and it never records which resident you are, signed in or not.
- Supabase holds the database and handles sign in. Everything described above lives there.
- Resend delivers the email the site sends, so it handles the address a message is going to and what the message says.
- Anthropic runs the two assistants: the one that answers bylaw questions and the one that sorts incoming board items for the directors. Text you send those features goes to Anthropic’s API to be answered. Anthropic does not train models on what comes through that API.
- Open-Meteo supplies the weather that colors the sky on the front page. That request is made by our server for Fayetteville and carries nothing about you, not even that you are the one looking.
Cookies
The site sets cookies to keep you signed in. That is all they do. The page counting described above uses no cookie of any kind. There is no advertising network, no pixel, and nothing following you to other sites. If your browser blocks cookies for theriverbend.app, signing in cannot work, and the sign in page will tell you that rather than failing quietly.
How long it is kept
Items sent to the board are association records, so they are kept. A board that can delete the complaints it received is a board with no history, and the timeline on every item exists so a resident can see what happened and when. Announcements, events, and votes the board takes down are hidden rather than erased, with a written reason for why.
Your account details are kept while you have an account. Ask us to close it and the sign in stops working and your contact details come out of the roster.
Correcting it, or getting out
You can change your name, your notification address, and which emails you get yourself, from your profile page inside the portal. Your sign in email is the key the roster matches on, so changing that one goes through the board.
For anything else, including having your account closed or asking what the site holds on you, email hoa.board@theriverbend.app. A person reads it.
Children
Accounts are for adult residents and owners. The site is not built for children and does not knowingly collect anything from one. If you think a child has made an account, tell us and it will be removed.
If this page changes
The date at the top moves when the wording does. If a change affects what the site holds or who can see it, the board will say so in an announcement rather than leaving you to notice a date.
